Events and Functions Co-Ordinator

Maxima has been engaged by our client to recruit for a Events and Functions Co-Ordinator based in the Western suburbs of Adelaide, Maxima is seeking a fun, vibrant person looking for an ongoing Casual position within our Picturesque local community organisation.

Applicants must have:

  • Experience in management of function facilities.
  • Experience in the management of RSA (responsible Service of Alcohol) and associated hospitality requirements.
  • Experience in financial management of all function operations including reconciliation and reporting on expenditure and income.
  • High level of organizational skills and the ability to meet deadlines.
  • Ability to utilize technology and social media to manage, monitor and promote functions.
  • Ability to manage paid staff and direct volunteers to deliver function output.
  • Ability to communicate with people from a range of backgrounds and across multiple generations.
  • Ability to prepare management reports outlining key function, bar, and kitchen information as agreed.
  • Ability to develop or manage policies and procedures for the successful and safe running of the bar and kitchen and venue in line with work health and safety requirements,

About the role:

  • Manage all elements of function and facilities hire, including maintaining and communicating a calendar of future functions, coordination with the client’s groups and bar staff regarding requirements; and responding to hiring inquiries in an efficient professional manner.
  • Ensure that facilities are well maintained, meet the needs of hirers, are cleaned, and rostered to their normal arrangements after functions.
  • Assist clients with the setup of the club rooms including IT and AV equipment as required.
  • Ensure that the bar and kitchen is well prepared for functions as required.
  • Manage a wide range of (internal and external) promotional and advertising activities to raise the profile of the function facilities and kitchen’s meals and service.
  • Coordinate a pool of approved and inducted catering providers to be utilized for hire for functions at the client’s facilities.
  • Manage as required a pool of supplementary casual workers, including rostering, induction, performance, and timesheet management.
